Quest Program Operations Coordinator

(Year-round, Full Time, Exempt)
Reports to: Quest Program Manager (aka Camp Director)
This position is hybrid in the Fall, Winter and Spring – approximately 80% remote and 20% in the office
and in-person in the Summer.
This person needs to live in or near the St. Louis area.

Position Summary
The Operations Coordinator is a vital member of the program team and reports to the Quest Program Manager. The Operations Coordinator oversees all registration, administration, and operations, of the Quest program and supports our Supports for Success program and facility operations as needed. This person primarily works in St. Louis but will also live and work at our camp in Lesterville, MO during the months of May to August. This position requires evening and weekend hours.

Job Requirements and Responsibilities:
• Serve as the Summer Office Manager, living at camp in Lesterville from May-August
• Prepare, process, and maintain all Quest paperwork and materials, such as
o Camper registrations, cabin group lists, etc.
o Staff hiring documents, including completing reference checks, supporting seasonal staff in completing required employment documentation, helping them obtaining social security cards, and processing hiring paperwork.
o Other grant and reimbursement programs (Title XX, SFSP, etc.)
• Provide prompt and precise replies to requests for information
• Assist in camper and staff recruitment
• Prepare and manage all family and staff communication
• Create and send invoices to families
• Arrange transportation for staff and campers and ensure plans are fully executed
• Oversee wrap-up of all Quest activities including managing Lost and Found
• Order supplies within established budget and help maintain Quest receipts
• Support the oversite of the health lodge and kitchen ensuring all supplies are ordered and processes and procedures are followed
• Initiate and ensure that all insurance is in place for all Quest activities; process insurance claims
• Assist in preparing, maintaining, and implementing American Camp Association standards materials
• Maintain all office equipment, supplies, and technology
• Attend fundraising, recruitment, and public relations events as required.

Qualifications & Certifications
• High School Diploma required, Bachelor’s degree preferred
• Leadership experience in organized camping, summer camp, and youth counseling, a plus
• Prior organizational leadership and staff management experience strongly preferred
• Experience working with and supporting youth and families with various abilities and from various backgrounds
• Valid driver’s license with good driving history, ability to obtain a Class E license, become an approved driver under Sherwood Forest insurance, and operate a motor vehicle safely
• Must be 21+ years old

Physical and Time Requirements
• Sitting/Mobility: Approximately 60% of time is spent working at a desk, and 40% is spent moving around work areas.
• Reaching/Handling: Ability to input and pull information from computer systems and retrieve and work with appropriate paperwork, equipment and supplies. Ability to reach and handle items from high and low places on occasion.
• Communication: Ability to effectively communicate with coworkers, volunteers, parents, and the community in writing and in person. Must be able to remain calm and pleasant when interacting with others in stressful and/or deadline situations. Must be willing and able to collaborate with others to achieve shared goals and objectives.
• Ability to work and navigate in a variety of terrain and weather conditions
• Ability to drive camp vehicles and to transport individuals and travel to camp and various sites as needed
• Flexibility to work in a dynamic, fast-paced environment and work evenings and weekends

Salary Range: $47,500 to $52,500
